Weploy is an innovator in the recruitment space, providing contingent staff through its technology platform that streamlines the recruitment process.
Australia’s largest university, Monash University, approached Weploy with an opportunity to utilise the tech platform. Monash needed a platform to significantly streamline their Monash Talent division, responsible for connecting students with industry partners for internships, contingent and permanent work opportunities.
A white labelled platform was required, which would mean transforming the entire Weploy platform into a fully configurable multi-tenant solution.

In the initial phase, our team aimed to gain a comprehensive understanding of Monash University's unique recruitment requirements and challenges. User research and detailed examinations were conducted to understand how Weploy's existing processes and systems could seamlessly integrate with Monash's needs. Through a series of collaborative workshops and iterations, process maps were developed and refined. This effort resulted in a final flow that aligned with Monash University's objectives and integrated well with the existing platform features.
Configuration
Facilitated by Weploy, this phase involved engaging Monash stakeholders to provide detailed specifications for configuring the Weploy platform. Configuration elements included importing student data, defining data requirements for student onboarding, determining visibility settings for industry partners, specifying job form questions, structuring rates and awards, considering branding requirements and establishing reporting and metrics systems.
Feature Briefs and Sprint Planning
Following the configuration phase, feature briefs were crafted to comprehensively document the identified requirements. Features were carefully prioritised and strategically planned for their implementation across three sprint cycles.
Product Design
As there were several new flows created for the Monash tenancy of the platform and specific configuration needed, product design was carried out to create simple, intuitive and beautiful user interfaces. For each feature, several rounds of concept creation, testing and high-fidelity design were carried out.
Agile Project Management
The Monash project spanned three sprints, each dedicated to implementing specified features. The team maintained daily stand-up meetings to ensure alignment within the team and discuss progress and challenges.
User Support Guides
Comprehensive user support guides were created to equip three distinct user types - Students, Employers and Monash Talent Admin users - with the resources they need to effectively navigate and use the system.
User Acceptance Testing
Following the three development sprints, User Acceptance Testing (UAT) was conducted to identify defects, validate the solution, and obtain sign-off from key stakeholders. The UAT process comprised several stages, including test planning, test execution by end users, defect identification and reporting, issue clarification, defect resolution, re-testing and stakeholder sign-off.
The use of the Weploy platform has been pivotal in assisting Monash University transform a slow and traditional recruitment model into a streamlined, digital and self-service model that will help 1000s of students find employment through the platform. By successfully delivering the project on time and within budget, the collaboration exceeded stakeholder expectations, setting the stage for a prosperous and mutually beneficial partnership with Monash University.
